Key concepts

Work in Alomana happens in workspaces; people join them with a role, and an organization can group the people and workspaces of one company.

Organizations, workspaces and members

LevelWhat it isRules
OrganizationThe people of one company, with shared roles and plans for its workspaces. You belong to at most one. Many accounts have none.
WorkspaceWhere work happens: chats, agents, skills, Library files, connectors and apps live in one workspace. You can belong to many and switch between them.
MemberA person in a workspace.Has exactly one role in each workspace they belong to.
  • A workspace created by a member of an organization belongs to it and uses its roles; other workspaces use the standard ones.
  • Joining an organization moves the workspaces you created into it and takes you out of workspaces outside it. Leaving changes no workspace.
  • Your organization role, such as Admin or Member, is shown on your profile.

Roles in a workspace

Each workspace has three built-in roles. These are the defaults; an organization or workspace admin can change what each role may do.

RoleBy default can
MemberChat, create and edit agents, connectors, MCP servers and workflows, and open apps.
EditorEverything a Member can, plus publish agents, edit apps, and create API keys and magic links.
AdminEverything, including inviting and removing members, changing roles and the workspace's settings.

Whoever creates a workspace is its Admin. See Roles and permissions for the full list.

People chat with an agent's published version, so a new agent is usable only once a role that may publish, Editor or Admin by default, publishes it. See Test and publish an agent.

What is private and what is shared

ItemWho sees it
ChatsOnly you, and only in the workspace where you started them, until you share one. Workspace admins do not see your chats.
Files you attach to a chatOnly you, inside that chat.
Scheduled tasksOnly you, in the workspace where you created them.
Agents, skills, skill sets and prompts you createEveryone in the workspace.
Library files and foldersEveryone in the workspace.
ConnectorsPrivate (only you) or Space (everyone in the workspace), chosen when you add one. New connectors are Private.
AppsSet per app. See Share an app.
Profile, plan and creditsOnly you, the same in every workspace.

Some shared connectors still ask each person to connect their own account before an agent can use them. See Reconnect a connector.

Credits

Credits measure what your work uses (model replies, tools such as web search and image generation, and code that agents run), and your plan gives you an allowance of them across all your workspaces. See Usage and limits.

To manage organizations, workspaces and roles with an API key, see Organizations and workspaces in the API documentation.
